Automatizer - Triggering a Process from an Email

Processes can be triggered by various properties of an email sent from or received into Pipeliner for all customers using Automatizer

Overview

As well as the existing triggers, from the 5.15 release (May 2025), Automatizer processes can now be triggered by an email.

Triggering the Process

You can choose from the following options to specify when the process should be triggered by selecting one of the options related to emails:

  • When an email is received

  • When an email is sent

  • When an email property is updated - supported email properties are Email Sentiment, Email Tag or Linked Records to an Email (this trigger applies only to existing emails and will not be triggered when a new email is received and AI subsequently evaluates the sentiment and tags)

  • When an email is deleted

  • Manually

NOTE currently we do not support scheduled triggers due to the sheer volume of emails that would significantly prolong process completion and possibly impact performance.

As well as selecting the user who owns the email that triggers the process (or all users), you can also choose to specify which application creates the email in Pipeliner - for example, the Office 365 Email integration that automatically captures and links emails and/or the Pipeliner for Outlook (Web & Desktop) plugin that allows users to manually link emails into Pipeliner from their Outlook Inbox ⤵

Space Process vs Personal Process

Because of how privacy options (sharing) work, Space and Personal processes are triggered by emails with different sharing options

  • A Space process will be triggered by Company emails + Public personal emails

  • A Personal process will be triggered by personal emails (both public and private) of the process owner will trigger the process

Users are notified about this difference via an infobox while setting up the email trigger.

NOTE: this does not apply to a Manual trigger - the user can trigger personal emails manually using a space process

Action Types

The Email trigger supports these action types

  • Create Record

  • Create Related Record

  • Update Related Record

  • Send Email

  • Send Webhook

  • Trigger Another Process

Manually triggering a process from an email in the Feeds

  • You can manually trigger process on the entire email thread or individual emails

  • When you select the Automatizer option a list of all relevant Automatizer processes will be shown and you can select which one you want to run
