Email Tracking in Pipeliner

Users can create and share personalised and HTML email templates. These templates can be selected for Office 365 and Gmail users.

Email Tracking is available for all emails sent directly from Pipeliner using the Create Email option. Users need to be using our Office 365 and Gmail email integrations to Pipeliner. This feature applies to single Standard emails as well as Mass emails and Standard emails sent to multiple recipients.

The tracking icon on each sent email will display a timeline of interactions for that individual email. 

The “Mass” email feature using Email Templates enables users to send perfectly formatted and personalized emails to multiple recipients and then track the statistics by clicking on the Mass email from the main Feeds tab or from the Contact’s Feed. 

The Mass Email Tracking report shows how many opens and clicks your mass email has received as well as see exactly who has interacted with it. These filtered results can be used to send a follow-up email directly from the tracking statistics report itself.

Users can also enable Notifications for Emails in their user settings to receive notifications when Outgoing Emails are opened.

Pre-requisites

You must have either a Microsoft Office 365 subscription and have enabled the Office 365 Email integration in your Pipeliner user settings or Gmail and have enabled the Gmail for Sending Emails app. See these articles for details of how to enable the relevant integration:

What tracking statistics are shown?

For each individual email sent using the "Create Email" option in Pipeliner, you’ll be able to view the Date and Time that the Email was sent, the Date(s) and Time(s) that it has been opened and each time a link was Clicked

If you send a Mass Email these tracking statistics are aggregated and visualised in the "Mass Email Tracking Report" ⤵

Tracking for an Individual Email

You can see Outgoing Emails from the Contact (or Account) Feed tab when the record is open; from the Compact View or from the main Feeds menu.

The tracking icon will show if an email has been opened (in green) or not (in grey)

Hovering over the tracking icon for an unopened email will tell you that it hasn’t been opened yet ⤵

Once an email has been opened, hovering over the tracking icon will show a history of the interactions with that email — when it was sent and the first time it’s opened by the recipient as well as each time a link is clicked (and which link)

If you send a standard email to multiple recipients, the tracking icon will also show the date and time that it’s opened by each recipient ⤵

Tracking for Mass Emails

When you’re emailing multiple recipients, you’ll definitely want to use the “Mass Email” option … and also our Email Templates to make sure your outgoing emails are perfectly formatted and standardized.

You can view the tracking statistics relating to an individual recipient from the Contact’s Feed as you would for any other outgoing email.

To see the Mass Email Tracking report, click on the “Show Mass Email” link ⤵

You can also see "Mass Emails" from the main Feeds menu ⤵

The Mass Email Tracking Report in Detail

The user who sent the Mass Email is shown in the top left and how long ago it was sent in the top right corner.

The subject line of the Mass Email is displayed above the “Details” and “Content” buttons ⤵

Details” shows the overall tracking statistics for the Mass Email. There’s a visual overview of the number of emails that have been opened and the number of times an individual link was clicked.

The “Emails” section below lists the individual recipients. The tabs list:

  • All” — all recipients of the email

  • Opened” — those recipients who have opened the email

  • Clicked” — the recipients who have clicked on one, or more, links within the email

  • Replied” — the recipients who replied to your email

  • Not Opened” — the recipients who have not yet opened the email

  • Not Sent” — emails that were not sent, usually due to bad email data

  • Unsubscribed” — the recipients who have clicked on the Unsubscribe link within the email

Click on the envelope icon on the right to open up the individual email to see the specific interactions for that recipient ⤵

Click on the “Show Mass Email” link to get back to the report.

NOTE: You can reply or forward this email using the icons in the top right corner just like any other email

From any of the tabs, you can select some, or all, recipients and quickly and easily send them a follow-up email.

Click on the tab — for example, the Opened tab — and select your recipients ⤵

NOTE: Clicking in the top left checkbox will select All

Click on the Follow-up Email button and then select “Mass” to send another mass email ⤵

Type your email, or even better, use an Email Template. Whichever option you choose, remember you can personalize your content. See this article for full details of adding personalization including a signature file ⤵

Your follow-up email will then be a separate Mass Email with its own tracking statistics report.

The “Content” button will show you a view of the email content as "Sent" ⤵

Enabling Notifications when Emails are opened

Each user can choose to enable Notifications that will show when Emails are opened. Click on the “Settings” button from the user avatar ⤵

Enable the “Emails” option from the Email tab ⤵

Click on “Save” and then “Close” to apply your changes.

You’ll then receive notifications in the Notification Hub when emails that you send are opened ⤵

Click on an individual notification to open up the associated email and see additional tracking information ⤵

Tracking Performance of Email Templates

Whenever your users use an email template when sending an Email or a Mass Email, the template is “linked” to the email itself and this allows tracking of the statistics for each template — the total number of times it has been sent, opened, links clicked, replied to or where the recipient unsubscribed ⤵

It is also possible to compare these statistics for multiple templates — those within a specific folder or all or by type — text, HTML. If you save all your Outbound Lead emails in a folder, you’ll be able to use the “Show Statistics” button, select your folder, and compare the statistics for each template so you can evaluate which one is performing best for you ⤵

NOTE: In order to facilitate this tracking, users will no longer be able to modify the content of the email “on the fly” has already selected to use a template. This is because the template and emails sent using it are linked together. You can see this from the email when you’ve used a template. If users change the content, the link to the original template is broken and the tracking statistics for that particular sent email will not be included in the overall performance

If you’re updating the content of a template and have used it, for example, in an Automatizer process, you’ll receive a warning that the content is being changed so you review the impact of your changes ⤵
