Enable visibility of more fields on the Won & Qualification Forms for users to verify data when qualifying a Lead or winning an Opportunity

Overview

Pipeliner Admins can now choose to make additional fields visible on the Opportunity Qualification and Opportunity Won Forms so that users can check and verify the data before saving the new Opportunity or winning the deal.

All empty mandatory (required) fields (including system fields such as Name or Closing Date), calculated fields and fields that contain invalid data will always display on these Forms. ⤵

Updating the Qualification Form

From the Admin Module, Fields & Forms, click on the Opportunities tab. Select the Opportunity Type you want to work with and then, in the right hand panel, scroll down and click on “Edit Qualification Form” ⤵

You can choose to make additional fields visible when your users Qualify a Lead to become an Opportunity which can help validate data.

As a simple example, when a Lead is Qualified to an Opportunity, the Ranking value that the user applied to the Lead will copy over to the new Opportunity. However, the previous Lead Ranking may not be accurate for the new Opportunity so you could make the Ranking field visible on the Qualification Form so your users can check and verify the Ranking for the Opportunity.

To enable visibility, hover over the field and then click on the resulting “eye” icon to “Make this field always visible” ⤵

If you change your mind, click again on the “eye” to “Reset visibility back to the default state”

Click on “Save”

And then “Publish” to apply your changes. ⤵

For your users back in the app, when they next Qualify a Lead, the Ranking field will be available for them to change before saving the new Opportunity. ⤵

Updating the Won Form

From the Admin Module and Fields & Forms, click on the Opportunities tab. Select the Opportunity Type you want to work with and then, in the right hand panel, scroll down and click on “Edit Won Form” ⤵

Enable visibility of additional fields that you want your users to verify when moving any Opportunity to Won in the same way as described above. ⤵

Required (Mandatory) Fields on Forms and Default Visibility

All empty system mandatory fields for Opportunities - for example, Name or Closing Date - as well as any custom fields that you have set as required, calculated fields and fields that contain invalid data will always display by default on the Qualification Form and Won Form.

It’s worth stressing that required fields act when they are empty …..

Let’s consider Opportunity Value and Opportunity Closing Date - both of which are required fields when saving a new Opportunity.

As a currency field, Opportunity Value is automatically populated with “0” (as are numeric fields in Pipeliner). This means that you can remove visibility and not have this field displayed on the Qualification Form. In real life, you’d most likely choose to make Opportunity Value visible so that users enter a value - replacing the 0 - but, as it’s not empty, you don’t have to.

Opportunity Closing Date is a date field and is, by default, empty when creating a new Opportunity which means that it is required for users to input a date. This means that it will always be visible by default on the Qualification Form. In order to make it not visible, you’d have to pre-populate the field itself with a default value in the Field Properties so that it’s not empty and therefore will not always display …

Similarly, the Opportunity Value and Opportunity Closing Date will not display by default on the Won Form (as they will both have values already entered earlier in the process) so you may want to “Make this field always visible” for both of these fields so that users can verify the data is correct prior to winning the deal.

Adding to/Removing Fields from the Opportunity Form

You can’t add or remove fields directly from the Qualification or the Won form - you can only make additional fields visible to your users. If you want to enable visibility of a field that is not available, you’ll need to update the main Opportunity form first.

From the right hand panel, scroll up to the top and select “Edit Form” to change the fields that will appear on this form type for your users. Add or remove fields and then publish your changes before returning to the Qualification or Won Form. ⤵
