Pipeliner’s JotForm integration enables your website team to add your form data directly to Pipeliner. During the no-code set-up of the integration, you have the option to create a new contact and/or a New Lead. New contacts will be checked for duplicates in Pipeliner prior to creating. Options include the ability to have a new Activity created to ensure instant follow-up of the lead by your sales team. 

Custom fields can be added upon request (as an additional chargeable option to customise the integration).

PRE-REQUISITES: In order to use this integration, you will need to have a Pipeliner Cloud subscription and a JotForm account.

How to enable the JotForm integration in the Pipeliner Automation Hub

From the Admin Module, click on the "Automation Hub" Menu Item.
Find the JotForm integration ⤵

Click on the "JotForm" card and then “Request” to request activation of the integration for your space.

JotForm Configuration Settings

Once you have clicked on "Request", you will need to select from the following options in the "Configuration Settings" ⤵

JotForm API

JotForm API Key

  • Enter your "JotForm API Key".

Region

  • Select your region from the dropdown.

Create Contact in Pipeliner

  • Automatically create a New Contact in Pipeliner when the web form is submitted.

Create Lead in Pipeliner

  • Automatically create a New Lead in Pipeliner when the web form is submitted.

Create Task in Pipeliner

  • Automatically create a New Task in Pipeliner when the web form is submitted.

Sales Unit of the newly created records in Pipeliner

  • All newly created Accounts/Leads/Tasks will be assigned to this sales unit.

Owner of the newly created records in Pipeliner

  • All newly created Accounts/Leads/Tasks will be owned by the selected user.

Notes on set up

  • When the integration is set up, a new custom JotForm Task will be created when it’s first activated.
  • One of the options — "Create Contact" OR "Create Lead" must be selected in order to use the integration.
  • The integration is unidirectional from JotForm to Pipeliner.

Finding your JotForm API Key

Click on your JotForm account and select Settings from the dropdown menu ⤵

Select the API menu from the left-hand panel and then click on “Create New Key”. Copy the API key created and paste it into the “JotForm API Key” field in the Configuration options ⤵

When you’ve selected the options you want to use, click on “Continue” ⤵

The integration will now display as “Add Pending” until approved by Pipeliner.

Once approved, a link will display which you will then need to copy and use to set up a new webhook in JotForm. Click on the “Copy to Clipboard” button ⤵

In JotForm, edit your form and click on “Settings” and then “Integrations” from the left-hand menu ⤵

Select "WebHooks" from the options and paste the URL that is displayed in the Configuration options in the Automation Hub in Pipeliner and then click on “Complete Integration” ⤵

You’ll then be notified that the integration is ready. Click on “Finish” ⤵

Your form will then be ready to use with the integration to Pipeliner set up. Click on "Publish" to show the form URL.

How does it work?

Create Contact in Pipeliner

Turn on this option if you want to create a new Pipeliner Contact based on the JotForm submission. A new contact will be created if no contact with the same email address already exists in Pipeliner. At least one name (first name or Lastname) plus email address or phone number must be provided — these fields have to be added as predefined form elements in JotForm e.g. in Form Elements Basic — Full Name)

Depending on the fields you have placed on your JotForm, the following fields will be completed for the new Contact in Pipeliner:

First name
Last name
Email
Phone
Address
City
State
Zip
Country
Phone1 (Primary Phone Number)
Email 1 (Primary Email Address)
Ownership and sales unit (as specified in the Configuration Settings)

Create Lead in Pipeliner

Turn on this option if you want to create a new Pipeliner Lead based on the JotForm submission. A new Lead will be created if no Lead with the same name already exists in Pipeliner.

Depending on the fields you have placed on your JotForm, the following fields will be completed for the new Lead in Pipeliner:

  • Lead Name › contact first + last name from the form
  • Lead Description › email, phone, address from the form
  • Ownership and sales unit (as specified in the Configuration Settings)

Create Task in Pipeliner

Turn on this option if you want a new Task of type “JotForm” to be created and linked to a Contact or Lead. The JotForm Task will be linked to the Contact based on an email address match and/or the Lead-based on Lead name.

Depending on the fields you have placed on your JotForm, the following fields will be completed for the new JotForm task in Pipeliner:

  • Subject › Form Title
  • Status › Completed
  • Due date › Form Submission Time
  • Description › All form questions and answers 
  • Activity type › JotForm (automatically created for this integration
  • Owner › Default Owner (select in configuration)
  • Sales Unit › Default Unit (select in configuration)
