Overview

We’re always at the forefront of innovations in CRM and, like all tech businesses, we’re engaged with how Artificial Intelligence (AI) will impact the business world. We’ve carefully evaluated what we think is the best and most productive first use of AI in Pipeliner for the 4.17 release.

Based on one of the most advanced OpenAI models, you can now use our Voyager AI Assistant to help with creating fluent and creative business emails directly from within Pipeliner itself. This feature is available for Standard and Mass Emails as well as in Email Sequences and emails sent via Automatizer.

Typing a main topic for the email and clicking on the AI icon will create a new, polished email for you to send. With just a couple of clicks, you can choose the tone to be applied and your preferred email length.

The email content can be copied to the clipboard or can be appended to - or replace - any existing content. Using “Refresh Request” will prompt the AI to recreate content based on the same topic. Based on the AI model settings, the user will get a different response from Voyager AI.

If you’ve already written the core of an email, you can rely on the Voyager AI Assistant to turn it into a fully finished and ready-to-send email using “Make Complete” or “Rephrase”. You can choose to “Make Shorter” or “Make Longer” or to change the tone of your content.

This new feature is available free-of-charge to all customers. One of your Pipeliner Admins will need to enable it from the Automation Hub and will need to agree to the OpenAI Terms and Conditions before it will be activated.

Introduction to AI

Pipeliner is using the OpenAI models which are currently the most advanced models in the world which are available for free and commercial use.

Models that we’re using from OpenAI are davinci and chatgpt (https://openai.com/product) and, for the Voyager AI Email Assistant, we’re using the davinci model (text-davinci-003), which is great for text completion and generation.

The AI Model configuration is set to be creative and not repetitive, so each output requested by a user should be sufficiently different.

Creating a new email using Voyager AI

Click on an email address in Pipeliner to start a Standard Email and select “Create email” ⤵

To use the Voyager AI Email Assistant to create your email, click on the AI icon ⤵

In the “Email Topic” field, write a short summary of the topic of the email for the AI to use to generate the content ⤵

NOTE: make your topic clear and descriptive, use keywords; brief descriptions and relevant articles or URLs in order to provide the AI with sufficient guidance to generate content for you.

Email Topic Templates

We’ve created a number of template Email Topics for you to use or to base your own topics on. You can review - or select - any of these by clicking into the Email Topic field and choosing one from the list under Email Topics

Fill in your own details where prompted in the topic text ⤵

Click on the AI Voyager rocket icon to generate the content for you and note how it includes the specific words and links that you added ⤵

Changing the Length of the Email

You can choose from “Short”, “Standard” (default) or “Long” to change the text length of the generated email ⤵

Click on the “AI” icon to re-generate the email to suit your selected length ⤵

Changing the Tone of an Email

In a similar way, you can opt to change the tone of your email. The default is “Professional”, click to change the tone to suit your intended audience more effectively ⤵

Email Personalization

If you are sending a one-to-one, standard email, you do not need to include personalization markers in your email as the AI generated text will contain the details from the selected record. Your selected record will usually be a Contact in which case the email will use Contact Name, Primary Account Name and Job Position. If instead you choose to send the email to an Account, the AI Assistant will use Account Name and Industry.

For Mass Emails, you’ll need to add personalization markers once you’ve added the AI generated text to your email or email template. This article shows how to personalise emails.

When it comes to signature details, the AI will use

  • The selected email account - the email will be signed by the sender you select - based on either your own personal email or another email account that you can access such as a company email address or another user’s email address that they have enabled for use in Mass Emails or Email Sequences, for example.

  • Space name - your company details based on your Pipeliner space name.

Using the Email Content

Once the AI Assistant has generated the content for you, you have some different options. You can “Copy to clipboard” so you can paste it into the email or into another app such as Word or Notepad. This can be a useful way of seeing the differences in the content when you select different email lengths and tones and deciding on your preferred options ⤵

If you’re happy with the content you can add it to your email. Choose from:

Add & Append below” to add the email content to your email below any existing text. If the subject line is empty, the subject will be copied separately into the Subject line but if you’ve already added a Subject it will not be replaced. If you have added a signature to the email, this will not be affected.

Add & Replace” to overwrite any existing text already in the email including the subject and any existing text in the email body. Note that if you have added a signature to the email, this will not be overwritten ⤵

Editing existing Email Content using AI

You can use our AI Assistant to finish or improve existing text that you’ve already added into an email that you’re writing.

Select the text you want the AI to help you with and then choose which option you want to apply ⤵

Make Complete - the AI Assistant will generate a whole email from a piece of marked text, or it will complete any not fully completed emails - so you could type some bullet points to identify the main points of the email and then ask the AI to generate the full, polished content ready to send

Rephrase - will tell the AI to freely rephrase the selected text, keeping the current tone

Make Shorter - AI will try to create shorter text

Make Longer - AI will try to create longer text

Change Tone - the selected text will be rephrased to the selected tone ⤵

The AI generated text will be previewed in the AI window ⤵

You can stop the AI generation by clicking on the red cross to close the window and then choosing “Discard” ⤵

or use the options to “Copy to clipboard”, “Add & Append below” or “Add & Replace” as before or, if you’re not happy with the suggested content, click on “Get alternative result” to ask the AI to re-generate a different version ⤵

Activating the Voyager AI Assistant in the Automation Hub

One of your Pipeliner Admins will need to activate the AI Assistant and agree to the OpenAI Terms & Conditions prior to it being available to use within the app.

Access the Admin Module using the App Switcher icon in the top left corner of Pipeliner and select “Administration” and then navigate to the "Automation Hub" menu⤵

Scroll down to the bottom of the screen to find “AI Assistant” and then click on “Add for Free” ⤵

Tick the box to agree to the OpenAI Terms & Policies and then click on “Add” ⤵

The AI Assistant will then show as Running

FAQ

What data can the AI access? What security considerations do I need to be aware of?

The AI has NO direct access to any of your data in Pipeliner and works only on demand (request -> response) and when the AI assistant module is enabled. It's not scanning any data in the background when you're not using it.

The data that we're sending to AI are used only to get more relevant, personalized emails based on the topic you select or enter into the Email Topic field.

The exact data sent to the AI are:

When generating AI emails

  • selected email account alias

  • space name

  • selected Account name

  • selected Account industry

  • selected Contact name

  • selected Contact's job position

  • selected Contact's Primary Account Name

  • the user-defined email topic

When re-generating AI text

  • the selected text
